Manage Bids Overview

Congratulations and welcome to ServiceLive.  The Manage Bids course includes eight lessons that explain steps to Manage Bids for your Service Orders.  We recommend you follow the order of lessons as listed, but you can also use any of these lessons as a reference if you have questions as you are completing Bid process.

    • This provides the recommended outline for Manage Bids course completion.
    • Explains Lifecycle of Service Order.
  • Create Service Orders in SMART
    • This lesson explains the process that you will use to create Service Orders (tickets) in SMART and explains when your Service Orders will show up in ServiceLive and trigger the bidding process for Providers.
  • Search and Locate Service Orders
    • This lesson explains steps to Search and Locate Service Orders.
    • These steps will work for all search items you might want to use to search for Service Orders.
    • You can search for Posted, Completed, Problem Status, etc.
    • In order to determine which bid you will select, you will first need to locate Posted Service Orders.
    • In order to Close and Pay Provider, you have to first search and locate a Completed Service Order.
  • View Posted Service Orders/Bids
    • This lesson explains steps to View Posted Service Orders/Bids so you can determine which bid you will select.
    • This lesson also explains steps to View, Reply, and Add Comments to Service Orders.
    • In order to View Posted Service Orders/Bids, you first have to create a Service Order in SMART.
  • Notes Tab
    • This lesson explains how to use Notes to stay in contact with your Service Providers.
    • Any ServiceLive user can enter notes about the Service Order.
    • Use Service Order notes as the primary means of communication between Buyer and Provider to minimize confusion and document any decisions made about the Service Order for future reference.
    • ServiceLive Administrative team can also add Notes to the Service Order.
  • Funding Request
    • This lesson explains how the Sears Facilities Funding Request process integrates with ServiceLive and details the steps to complete in ServiceLive.
    • Once you create a Service Order in SMART, and View Service Orders/Bids in ServiceLive, you will follow the steps in this lesson to ensure the Bids meet Facilities funding approval limits.
  • Accept Bid/Schedule Service Visit
    • This lesson explains steps to Accept Bid/Schedule Service Visit.
    • Make sure you have followed the steps in Funding Request lesson to ensure the Bids meet Facilities funding approval limits before completing steps in this lesson.
  • Close and Pay/Rate Provider
    • This lesson explains steps to Close and Pay and Rate Provider.
    • To Close and Pay, Service Order has to be in Completed status, which the Provider will do upon completion of work.

Lifecycle of a Service Order:

  • Draft – After Buyer creates a new Service Order OR edits a Draft Service Order AND saves as Draft, Service Order will be located on Draft tab until Buyer Posts or Deletes Service Order. Provider will not be able to view until Buyer posts Service Order.
    Note:  SHC Facilities Service Orders are auto injected and Posted by ServiceLive Administrative Team.
  • Posted
    • Buyer Posts a Name Your Price Service Order, which they identify price. Buyer can view from Posted Provider can view/take action from Received tab.
    • Buyer Posts a Bid Request Service Order, which they ask for bids.
    • Bid Requests functionality can be enabled in ServiceLive at Buyers request.
    • If not enabled, Buyer will not see this tab.
    • Buyer will be able to view Bid Request Service Orders from Posted Provider can view/take action from Bid Requests tab.
  • Accepted – On Name Your Price, once Provider Accepts or Buyer Accepts Provider’s Counter Offer, Service Order will change to Accepted status and will be located on Accepted tab until Service Date/Time. On Bid Requests, once Buyer Accepts Bid, Service Order will change to Accepted status and will be located on Accepted tab until Service Date/Time.
  • Active – Once the Service Date/Time occurs, Service Order will change to Active status and will be located on Today tab.
  • Completed – Once Provider submits Service Order for payment, Service Order will change to Completed status and will be located on Today tab.
  • Closed – Once Buyer Closes and Pays, Service Order will change to Closed status and will be located on Inactive tab.
  • Service Orders can be in four other statuses: Cancelled status and Voided status located on Inactive tab and Problem status located on Problem tab and Expired status located on Today tab.
